π¨General & Getting Started
LodgIQ is an all-in-one hotel property management system (PMS) built for independent hotels, boutique hotels, hotel groups, and multi-facility hospitality businesses β primarily across Nigeria and West Africa. It combines core reservation management, revenue optimisation, CRM, HR, accounting, payments, and team collaboration into a single cloud-based platform, so you don't need to stitch together multiple tools from different vendors.
Most properties gets up and running within a week, depending on the size of your hotel. Our onboarding team handles the technical setup, data migration, and staff training β you don't need any technical background to get started
You can start with the modules most relevant to your immediate needs and add more as your business grows. That said, the platform is designed so modules work best together β CRM campaigns perform significantly better when pulling data from core PMS booking history, and AI pricing works better with full occupancy data. We'll recommend the right starting package during your demo.
Yes. LodgIQ supports multi-facility management under one account. You can manage multiple hotel branches, room blocks, event spaces, or separate properties from a single dashboard β each with its own reporting, staff, and configuration β while sharing centralised accounts, payroll, and analytics.
Yes, LodgIQ is fully cloud-based and accessible from any modern web browser β desktop, tablet, or mobile. There's nothing to install or maintain on your end. Your data is hosted securely on our infrastructure with automatic backups and 24-hour uptime monitoring.
We provide 24-hour support, with a dedicated account manager during your onboarding period. For urgent technical issues, our support team is reachable around the clock. We also regularly release platform updates, training materials, and best-practice guides to help your team get the most from every feature.
πRevenue Management
Dynamic pricing automatically adjusts your room rates daily based on monitored signals: current occupancy, booking pace, historical demand patterns, seasonal trends, and upcoming local events. Instead of setting a flat weekly or monthly rate, the system ensures you're never underselling during peak periods or overpriced during slow seasons. You set the floor and ceiling rates; the engine works within those guardrails.
Absolutely. Automated pricing is a tool, not a constraint. You have full control to override rates for any room type and any date range β for example, to honour a negotiated corporate rate, run a promotional offer, or override a recommendation you disagree with. You can also pause dynamic pricing on specific room types at any time.
Forecasting gives you a forward-looking view of expected occupancy and revenue for the weeks and months ahead, drawing on your historical booking data, current reservation pipeline, and seasonal patterns. This helps you make smarter decisions about staffing levels, purchasing, pricing strategy, and when to push promotions to fill soft periods before they become a problem.
Guests earn points or rewards for each stay, which they can redeem against future bookings, dining, or services at your property. You define the earning rules, tier thresholds, and redemption values. The loyalty programme links directly to guest profiles and CRM, so you can automate milestone emails like "You're 1 stay away from Gold status" without any manual work.
Yes. You can create voucher codes with specific discount values (percentage or fixed amount), validity windows, minimum stay requirements, and applicable room types. These codes can be shared via email campaigns, social media, or given to corporate clients β and tracked in your dashboard to measure redemption rates and revenue impact.
π―CRM & Email Marketing
Each guest profile automatically builds over time with contact details, stay history, total spend, room preferences, dietary requirements, booking channel, loyalty status, and communication history. Profiles are created on first booking and enriched with every subsequent interaction β check-ins, dining, service requests, and chat messages β giving your team a complete picture of each guest before they arrive.
You can segment your guest database by any combination of attributes: number of stays, total lifetime spend, last visit date, room type preferences, booking source, nationality, or loyalty tier. Segments are dynamic β they update automatically as guest data changes β so a "lapsed guest" segment will add guests who haven't returned in 90 days and remove them the moment they rebook.
You can run a wide range of campaigns: pre-arrival upsell emails, post-stay review requests, win-back campaigns for lapsed guests, birthday and anniversary offers, seasonal promotions, loyalty milestone notifications, and general newsletters. Campaigns can be one-time blasts or automated sequences triggered by guest behaviour β such as sending a "we miss you" offer 60 days after a guest's last checkout.
Rather than sending the same promotion to your entire database, personalised offers use guest profile data to tailor the message. A guest who always books a suite and dines at your restaurant will receive an offer that reflects those preferences β for example, a room upgrade at a preferred rate plus a complimentary dinner credit. This results in significantly higher open and conversion rates compared to generic bulk emails.
LodgIQ takes your guests data protection and privacy via the General Data Protection Regulation (GDPR, EU) and Nigeria Data Protection Act (NDPA) policies. Your guests can opt in or out of data usage.
π€AI Features
AI is built into four core areas: Dynamic Pricing (rate optimisation based on demand signals), Email Templates (generating on-brand email copy for campaigns), and Demand Forecasting (predicting future occupancy and revenue). Each feature can be used independently or as part of a connected workflow.
You describe the campaign you want to run β the audience segment, the offer, and the desired tone β and the AI generates a complete email draft including subject line, body copy, and call-to-action. You can edit the output before sending, adjust the tone or length, or regenerate until you're happy. It's designed to save your team time while producing copy that sounds human and on-brand.
No. All AI features are designed for hotel operators, not data scientists. Dynamic pricing runs automatically in the background. Email generation works through a simple guided form. Forecasting displays as easy-to-read charts and summaries. There's no model configuration, no data pipelines to set up, and no technical skills required.
Accuracy improves over time as the system builds a richer picture of your property's patterns. Pricing recommendations typically become highly reliable after 60β90 days of live operation. During the early period, the system uses industry benchmarks and comparable property data as a baseline. Forecasting confidence intervals are always displayed alongside predictions so you know how much weight to give each projection.
π³Payments
LodgIQ natively supports the company's main currency (e.g. Nigerian Naira (β¦)) you set at the backend and US Dollars ($), with multi-currency billing for international guests. Accepted payment methods include bank transfers, debit and credit cards, mobile money, and POS terminals β depending on your payment provider integration. Contact our team for the current list of supported payment gateways.
Partial payment allows guests to secure a booking by paying for the current booking cost. While they are checked in, services & cost can be added to their booking which they can pay for when checking out. The system automatically tracks outstanding balance.
Unified billing means a guest's entire spend during their stay β room charges, spa services, vehicle hire, events β is consolidated into a single invoice at checkout. Everything posts to the guest's folio in real time as services are consumed, so your team never needs to reconcile bills across different departmental systems manually.
Yes. All payment data is handled through PCI-DSS compliant payment gateways. LodgIQ itself does not store raw card data β payment tokens are managed by the payment processor (Paystack). All transactions are encrypted in transit, and every payment action is logged in the platform's audit trail for full accountability.
π₯HRMS (Human Resources)
Yes. The payroll module is designed with the Nigerian tax framework in mind, including PAYE calculations, pension contributions (PFA deductions), and NHF. Payslips are generated automatically each pay cycle, and the system maintains a full payroll history for compliance and auditing. If your tax rules change, configurations can be updated without needing a developer.
Yes, through the Employee Self-Service Portal. Staff can view their own payslips, apply for leave, check their attendance records, submit expense claims, and read official announcements β without needing to contact HR directly. This significantly reduces the administrative load on your HR team.
Managers can create and publish shift schedules for any department β front desk, housekeeping, restaurant, security. Staff are automatically notified of their schedules. Attendance is tracked against scheduled shifts, and discrepancies (late arrivals, absences) are flagged in real time so managers can respond quickly without waiting for end-of-day reports.
HR managers can process employee loan requests and salary advance requests directly within the platform. Approved amounts are automatically deducted from future payroll runs in configured instalments, with full tracking of outstanding balances per employee. This eliminates spreadsheet-based tracking of staff financial obligations entirely.
Yes. You can configure periodic performance review cycles, set goals and KPIs for individual employees, and record review scores and manager feedback within the platform. Review history is stored on each employee's profile, making it easy to track development over time and tie performance outcomes to compensation decisions.
πAccounting
Yes. LodgIQ includes a full double-entry accounting engine with a configurable Chart of Accounts, journal entries, and real-time ledger updates. Financial reports including Profit & Loss, Balance Sheet, and Cash Flow statements are generated automatically from your live data β no manual data entry required at period end.
Yes. You can configure approval workflows for vendor invoices and purchase orders β for example, requiring department head sign-off for amounts under a set threshold and Director approval for larger sums. Approvals happen within the platform with full audit trails, eliminating paper-based processes and reducing the risk of unauthorised payments.
You can import your bank statements directly into LodgIQ, where the system automatically matches transactions against your recorded receipts and payments. Unmatched items are flagged for manual review. This makes month-end reconciliation a matter of minutes rather than days and dramatically reduces the chance of errors slipping through unnoticed.
Yes. Tax rates (VAT, WHT, tourism levies) are configurable and automatically applied to the relevant transaction types. The system generates tax reports that can be used for FIRS filings. You can manage multiple tax codes for different services β applying a different tax treatment to room revenue versus food and beverage revenue, for example.
Yes. The accounting module includes a full Customer & Vendor Management ledger. You can track outstanding balances, payment history, credit terms, and contact details for all your suppliers and corporate clients. Accounts receivable and payable ageing reports are available out of the box to help you stay on top of cash flow.
βοΈOperations
LodgIQ covers the full breadth of hotel operations: inventory and procurement, food and beverage, meal planning and vendor management, service management (spa, laundry, concierge), vehicle hire, and events management. These modules are connected to the guest folio system so any ancillary spend by a guest is automatically added to their bill.
The events module lets you manage bookings for conference rooms, banquet halls, and outdoor spaces alongside your room inventory. You can define capacity, pricing, and setup configurations for each space, track event deposits and payments, assign staff, and coordinate catering and equipment through the same platform β with the event revenue flowing directly into your accounting module.
The vehicle management module lets you manage your hotel's fleet β airport transfers and guest hire vehicles. You can schedule pickups and drop-offs, assign drivers, track mileage, manage maintenance schedules, and automatically bill vehicle services to the guest's folio for seamless checkout.
πΌManaged Services
Our revenue strategy service pairs you with a hospitality consultant who analyses your current pricing, competitive set, seasonal demand patterns, and distribution mix. They deliver a tailored strategy covering recommended rate structures, package design, direct booking targets, and a 90-day action plan. Ongoing advisory sessions are available on a retainer basis for properties that want continuous support.
GEO is the practice of optimising your hotel's online presence to appear prominently in AI-generated answers β such as when a traveller asks ChatGPT, Google's AI Overviews, or Perplexity "best hotels in Lagos for a business trip." Traditional SEO focuses on standard search rankings; GEO ensures your property is cited and recommended by AI systems that are increasingly influencing how travellers discover and choose hotels.
Metasearch platforms like Google Hotel Ads and TripAdvisor compare hotel rates across booking channels side by side. Without optimisation, guests clicking your listing are often directed to OTA listings β and you pay the OTA commission. Our metasearch service connects your LodgIQ booking engine directly to these platforms so your direct rate appears in the comparison, driving bookings to your own channel commission-free.
No. The LodgIQ booking engine can be embedded into your existing website as a widget or accessed via a branded booking page on your custom subdomain. However, if your current website is outdated or poorly converting, our website creation service can build you a fast, SEO-optimised hotel website fully integrated with the booking engine β designed to convert visitors into direct bookings.
Our guest experience consultants map every touchpoint a guest has with your property β from the first Google search to the post-stay email. We identify friction points, missed upsell opportunities, and moments where a small improvement would have an outsized impact on satisfaction and loyalty. The engagement delivers a prioritised improvement roadmap and implementation support to execute it.
πSecurity & Access Control
Administrators can define roles β Front Desk, Housekeeping Manager, Accountant, HR Manager, General Manager β with granular permissions controlling exactly which modules, records, and actions each role can access. Staff only see what's relevant to their job. Roles are fully customisable to your organisational structure and can be updated at any time as responsibilities change.
Every significant action in the platform is logged: bookings created or modified, payments processed, invoices approved, rate changes applied, user logins, and data exports. Each log entry records the user, timestamp, and the before/after state of the record β invaluable for resolving disputes, investigating discrepancies, and meeting compliance requirements.
Yes. Guests can authenticate using their Google account on your booking engine and guest portal, removing the friction of creating a new password. This typically improves booking completion rates and ensures guests can easily access their reservation history, manage upcoming stays, and redeem loyalty points without account recovery issues.
All data is encrypted in transit (TLS) and at rest. Automated backups run daily, with the ability to restore to any point within the last 30 days. Our infrastructure is hosted across multiple servers with automatic failover so a single hardware failure doesn't result in downtime. Compliance and data handling policies are available on request.
π₯οΈPlatform & Infrastructure
Each hotel on LodgIQ is provisioned its own subdomain β for example, grandboulevard.foslah.com β giving you a branded, dedicated URL for your staff dashboard, guest portal, and booking engine. The subdomain is set up during onboarding at no extra charge. You can also point your own custom domain (e.g. book.grandboulevardhotel.com) to your LodgIQ instance.
LodgIQ includes pre-built dynamic dashboards for revenue performance, occupancy trends, booking source analysis, guest demographics, payment summaries, and HR metrics. Dashboards are filterable by date range, property, department, or room type. All data can be exported to Excel or CSV for use in your own BI tools or for sharing with stakeholders.
Team Chat is built directly into the platform β no need for WhatsApp groups or external messaging tools. Staff communicate via direct messages or departmental channels (e.g. #housekeeping, #front-desk). Document sharing is supported for shift reports and maintenance notes. The guest chat feature connects arriving or in-house guests directly to your front desk team through the guest portal in real time.
We target 99.9% uptime. Our infrastructure is hosted across multiple servers with automatic failover β if one server encounters an issue, traffic is instantly routed to a healthy server with no action required from you. Planned maintenance windows are communicated in advance and scheduled during low-traffic periods to minimise any disruption to your operations.
LodgIQ offers API access for custom integrations and supports a growing library of native integrations with payment gateways, online travel agencies, channel managers, and third-party analytics tools. If you rely on a specific tool that isn't yet on our integration list, speak with our team β we regularly add new integrations based on customer requests.
